Privacy Policy

This Privacy Policy explains how SiteForeman (“we”, “us”, “our”) collects, uses, stores and discloses your personal information. We handle personal information in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth). By creating an account and using SiteForeman, you agree to the handling of your information as described here.

Who we are

Information we collect

We collect the following personal information so the platform can do its job:

  • Account details — your name, email address and phone number, used to create and secure your account.
  • Project information — the build address, permit number, state and other project details you enter.
  • Building plans — the PDF plans you upload, which are stored securely and analysed to produce your estimate and timeline.
  • Contact details of tradespeople — the names, phone numbers, email addresses and licence numbers of trades you add, so we can generate and send quote requests on your behalf.
  • Quotes, budget and invoice data — the figures you record against your project.
  • Payment information — processed by our payment provider (Stripe). We do not store your full card details on our systems.
  • Usage data — basic technical information (such as log data) generated when you use the platform.

How we use your information

We use your information to:

  • provide the platform’s features — reading your plans, producing cost estimates and timelines, generating quote requests, and tracking your budget and inspections;
  • send quote-request emails and SMS messages to the tradespeople you choose, from you;
  • process your one-time payment and manage your access;
  • respond to your support requests and improve the platform;
  • meet our legal and regulatory obligations.

When you add someone else’s details

When you enter a tradesperson’s contact details, you are responsible for ensuring you are entitled to provide them to us and for the content of the quote requests you send. We use those details only to send the requests you initiate and to log the responses you record.

Third parties we share information with

We do not sell your personal information. We share it only with the service providers we rely on to run the platform, and only to the extent needed:

  • Supabase — secure database, authentication and file storage.
  • Anthropic (Claude) — reads your uploaded plans to produce your estimate. Plans and project data are sent to this service for analysis.
  • Stripe — processes your payment.
  • Resend — delivers the quote-request emails you send.
  • Twilio — delivers the SMS messages you send.
  • Vercel — hosts the platform.

Information sent overseas

Most of the services above store or process data outside Australia — typically in the United States and Europe. That includes your uploaded plans and project details, which are sent to Anthropic for analysis, and your account and project data held by Supabase.

Before disclosing personal information overseas we take reasonable steps to satisfy ourselves that the recipient handles it in a way consistent with the Australian Privacy Principles, which in practice means relying on each provider’s published privacy and security commitments and their contractual terms. You should be aware that information held overseas may be subject to the laws of that country, and that we cannot control foreign legal process.

If you would prefer your plans not to be sent to an overseas AI provider, the plan-reading feature is the core of the product and cannot be used without it — in that case the platform is not suitable for you, and you should not upload anything.

Storage and security

We take reasonable steps to protect your information from misuse, loss and unauthorised access, including access controls and encryption in transit. No system is completely secure, and we cannot guarantee absolute security, but we work to keep your information safe and to notify you of any eligible data breach as required by law.

Accessing, correcting or deleting your information

You can view and update most of your information directly in the platform. You may delete a project, which removes its associated data. You can also request access to, correction of, or deletion of your personal information by contacting us at contact@getsiteforeman.com.au. We will respond within a reasonable time.

Retention

We keep your information for as long as your account is active and as needed to provide the platform, then for any period required to meet our legal obligations, after which it is deleted or de-identified.

Data breaches

If a data breach occurs that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme. We will tell you what happened, what information was involved, and what you should do about it.

Our obligations are increasing

Historically, businesses under $3 million annual turnover were exempt from much of the Privacy Act. That exemption is being removed, with the change commencing 10 December 2026, after which all 13 Australian Privacy Principles apply to businesses of our size. We are treating the APPs as applying to us and have written this policy on that basis rather than relying on the exemption while it lasts.

Changes to this policy

We may update this policy from time to time. The “last updated” date above shows when it was last changed. Significant changes will be communicated through the platform.

If you believe we have mishandled your personal information, contact us at contact@getsiteforeman.com.auand we will work to resolve it. If you are not satisfied, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
